Three things to check before sending
The three pre-send checks below prevent most sending problems. Each takes under a minute and saves a recall cycle.
Sending freezes the document. Any content change requires recall and resend, wasting both parties' time and leaving a 'modified' mark in the audit trail.
Walk the document in preview mode as the recipient will see it. Check every signature field, required field, and auto-filling date field.
One mistyped email stalls the chain. With multiple recipients, confirm each role: signer, approver, or CC.
Recipient routing: sequential vs parallel
Routing design is where sending expertise shows. The wrong mode is the most common cause of slow deals.
Sequential signing
B is notified only after A signs. Ideal for real dependencies: approval before signing, or Party A before Party B. The downside is total time equals the sum of all stages, so the slowest stage sets the pace.
Parallel signing
All recipients are notified at once. Ideal for independent multi-party files such as multi-party NDAs or policy acknowledgements. Total time is set by the slowest signer, not the sum.
Hybrid workflows
Large procurement contracts often run parallel approval, then sequential signing. Design the routing that matches the business dependency, not the default.
Identity verification: strength vs friction
Verification strength is a trade-off between evidence and signing friction. The key insight: verification level is not the same as contract validity.
Email verification (default)
Proves the email address received and signed. Sufficient for everyday commercial contracts and fully valid under ESIGN/UETA/eIDAS.
SMS verification
Adds a second factor via the recipient's phone. Useful for larger amounts or a second confirmation. Cross-border SMS has cost and deliverability caveats.
Knowledge-based verification (KBA)
Asks questions from credit data, strongest of the three. Used for high-value or regulated transactions. Not available in all regions.
Managing the document after sending
Post-send management is where deals are won or lost in practice.
Status tracking
Sent, viewed, signed, completed: every status carries a timestamp and becomes part of the audit trail. Track proactively, not reactively.
Reminder strategy
Automatic reminders (for example every 3 days, up to 5 times) nudge slow signers. Set them, but do not turn them into harassment: the counterparty may simply have forgotten, not refused.
Recall and correction
Unsigned envelopes can be recalled and corrected. Once someone signs, you can only void and resend, and the void action itself is recorded.
Why the audit trail wins disputes
In contract disputes, the party with the more complete evidence usually wins. The audit trail - signer identity, IP, timestamps, and document hash - is admissible electronic evidence in most jurisdictions.
Archive the signed PDF and certificate
After completion, save the signed PDF plus the audit certificate, named by client and contract, to cloud storage. This is your strongest weapon in payment, scope, or employment disputes.
The certificate is a separate document
The audit certificate summarizes signers, times, IPs, and the document hash. It is generated as an independent PDF at completion, not embedded in the signed file.
